IMS Announcement - TSDS Fall PEIMS Reports (fixes applied by ASCENDER Programming to correct), January 23rd

If you are experiencing any of the following issues with existing fatals or have seen the issue described on the Fall PEIMS referenced below please ensure you are completing an updated extract/send and promote/validate for the Fall PEIMS Resubmission.

Issue #1:  

ASCENDER Programming Applied a fix on Tuesday, January 21, 2025 at at 5:30pm to resolve the following Fall Leaver fatal errors:

40203-0003 - If Exit Withdraw Type is "01", then Diploma Award Date must be between August 1, 2023 and August 31, 2024.

  • Updated the Achievement Category to 1 for all graduates in the source and staging tables.

40203-0004 - If Exit Withdraw Type is "01", then Diploma Award Date, Diploma Type, and Individual Graduation Committee Graduate Indicator must not be blank/not reported.

  • Updated the Achievement Category to 1 for all graduates in the source and staging tables.

48011-0033 If Texas First Early HS Completion Program is not blank, then Endorsement Completed must be blank/not reported.

  • Deleted Endorsements Completed from the staging tables for all Texas First Early HS Completion Program codes 01 and 02

48011-0032 If TexasFirstEarlyHSCompletionProgram is not blank, then DiplomaType must be "40".

  • Updated Diploma Type to 40 in the staging tables for all Texas First Early HS Completion Program codes 01 and 02

 

 

ISSUE #2:

TCC has identified an issue where not all SpecialEducationProgramAssociation data is extracting and sending. It seems to be occurring on students entering the program after the first day of school.  It appears to be primarily the fields related to the InstructionalSettingSet, the DisabilitySet, SPEDProgramAssociationSets, and the SPEDProgramServiceSet. There is also potential impact to the HearingAmplification, LanguageAcquisition, and Assessments data. This issue was identified by missing information on the PDM1-121-006 and PDM1-121-009 reports. 

OPTION/WORKAROUND:

Making a change to the Student's SPED record on Registration > Maintenance > Student Enrollment > SPEC ED, saving and then changing the value back will trigger sending the missing data for a particular student. 

SPECIAL NOTE

Also, ASCENDER Programming applied a fix to all ASCENDER districts on 1/21 at 4:30pm to trigger resending all of the SpecialEducationProgramAssociation entity data. 

Issue #3: 

ASCENDER is not sending the AssociateDegreeIndicator in the PriorYearLeaver Entity API.  See Fall PEIMS Report - PDM1-124-004 to review student graduates that should have associate degree reported.

Update: This issue will be resolved in the 9.0418 software update, with a target release date of today, January 23, 2025.

Issue #4:

To reduce recurring fatal errors for LEAs during TSDS submissions, ASCENDER Programming began deploying a set of previously deployed SQL scripts nightly on 1/22/25. These scripts address data misalignment issues in staging tables, reducing the opportunity for updates made by customers to inadvertently trigger the same errors. Each script corrects specific data discrepancies, reducing the burden on LEAs and improving submission accuracy.

Updated Guidance:

The following SQL scripts/fixes will run automatically each night:

  • 9.0422_DuplicateBudgetRecords – Removes older duplicate budget entries, keeping only the most recent.
  • 9.0415_StaffDeletedFromSec.SQL – Ensures that staff removed from a campus section are properly deleted in the ODS.
  • 9.0415_StaffSection_Updated_Begin_Dt – Fixes errors when a staff section’s begin date is updated, ensuring proper delete/insert records.
  • 9.0415_Student409errors.SQL – Resolves dependency issues when a student’s unique ID changes but isn’t fully updated.
  • 9.0420_Payroll_Delete_0Amt – Removes or flags payroll staging records with zero amounts that cause fatal errors.
  • 9.0420_Update_Staff_Data_000E – Updates missing or incorrect staff demographic fields to prevent fatal errors (30040-000E).
  • Fatal_30040-000E_Staff_Type_update – Ensures staff type fields are correctly populated to resolve 30040-000E errors.
  • 9.0415_SPED_AGE_RNG_CD.sql – Corrects invalid SPED student age range codes to prevent submission errors.

These SQL scripts will run nightly to proactively reduce errors before they impact TSDS submissions. LEAs should continue verifying their data but can expect fewer fatal errors due to these automated corrections. If any persistent issues remain, LEAs should submit a ASD ticket with screenshots, database, and JSON for further investigation.
