Important/Time Sensitive: Finance – Mask Crosswalk Utility will be disabled in October

 

The mask crosswalk in Finance > Utilities > Mass Change Account Codes will be disabled in the first October release.  It is being disabled due to errors that can be generated in PEIMS by using this utility.

This utility is often used to correct account codes in Finance for many reasons including PEIMS.  Since this utility will no longer be available during the 2025-2026 Fall and Midyear PEIMS submissions, we recommend that you review your account codes now for the items listed below in both the Budget and Finance applications.  After October, if corrections are required for any reason, you will need to make those corrections manually with a journal entry.  

Please run inquiries in both Budget and Finance to check for the following potential issues and make corrections as necessary.  Please note, 8XX funds and 7XX funds (with the exception of 701) are not reported to PEIMS and therefore the list below would not pertain to those funds.

  1. Object codes 5820, 5830, and 6630 are invalid.  These should be 5829, 5839, or 6639.
  2. In Function 41, make sure you do not have any ORG 999.  They should all be 7XX.
  3. Check all expenditure (6XXX) ORG codes to make sure none of them are 000.  Expenditure accounts must have ORG codes such as 999, 750, 001, 101.  For example, 199-11-6399-00-101-611000 is a valid code and 199-11-6399-00-000-611000 is NOT valid.
  4. Check all expenditure (6XXX) PIC codes to make sure none of them are 00.  Expenditures must have a valid PIC such as 11, 21, 30, 33, 99, etc.  For example, 199-11-6399-00-101-611000 is a valid code and 199-11-6399-00-101-600000 is NOT valid.
  5. Check all revenue (5XXX) ORG codes and make sure they are 000.  Revenue accounts MUST have 000 ORG codes.  For example, 199-00-5829-00-000-600000 is valid and 199-00-5829-00-999-600000 is NOT valid.
  6. Make sure you do not have any PIC 31 (high school allotment), PIC 32 (pre-k), PIC 34 (pre-k comp ed), or PIC 35 (pre-k bilingual).  These are no longer valid for PEIMS.

 

If you do have any account codes that need to be updated, please do so immediately.  All account code crosswalks need to be made prior to sending any information to TSDS.
