Staff Classification and Auxiliary Role ID Changes for Nurses

As discussed during the Fall PEIMS review and per the 26-27 Data Standard Changes, please ensure that Nurse Responsibility information is reviewed in Personnel and updated as needed.

Previously, the Staff Classification 022 (School Nurse) included Licensed Vocational Nurses (LVNs), Registered Nurses (RNs) and Nurse Practitioners (NPs).  This classification is inconsistent with the Texas Administrative Code (TAC) ยง153.1021, which defines a school nurse specifically as a Registered Nurse (RN) licensed to practice professional nursing in Texas.

The Staff Classification descriptor 022 (School Nurse) was removed and Staff Classification descriptor 122 (Registered Nurse/Nurse Practitioner) was added for use in Fall PEIMS if a staff member is employed as a RN.

In addition, the Auxiliary Role ID descriptor 212 (Non-RN Clinic Staff) was added for use in Fall PEIMS if a staff member is employed as a LVN, CNA, or clinic aide.

It will be necessary to review Nurse responsibility information in Personnel > Maintenance > Staff Demo > Responsibility.  If there is a Staff Classification 022 associated with Year 2027, then changes will need to be made.

  • If the employee is an RN, then the Staff Classification will need to be changed to 122 on their Responsibility screen for the 2027 Year and update the Begin Date to the current year.
  • If the employee is a LVN, CNA, or clinic aide, then the Responsibility for Year 2027 will need to be deleted.  Then, the Auxiliary Role ID 212 will need to be added on the Personnel > Maintenance > Employment Info screen with their current year Begin Date.

Also, please keep in mind that if your district is reporting a Nurse with a professional responsibility record, then Fall PEIMS will expect to see that employee paid out of 6119.  If they are reported with an Auxiliary Role ID, Fall PEIMS will expect to see that employee paid from 6129.  Due to this, the business office will need to review these employees and review how they are paid to avoid Fall PEIMS errors.

If you have any questions regarding this, please submit an ESC-16 ASCENDER ticket.
