welcome this is a video to help supervisors and TimeClock plus first you will need to input your user ID followed by your password once you have logged on you will be taken to your mind dashboard screening here you can see immediately such as pending time-off requests and approaching overtime but first we're going to go over how to approve hours to do this go in 2 hours and a visual hours here on the left hand of the screen you will see all the employees that you were charge of doctor evils case he is in charge of Austin Powers and Vanessa Kensington let's say he wants to approve Austin Powers time for the last week worked he must select his profile update the Ranchi wishes and hit update here we can see from 10 12105 both doctor evil and Austin Powers ever proved their time along with ten 8 to 10:12 however dr. evil has not a time from 10:15 to 10:19 so to do this he must first make sure that Austin has approved his week we can see the green check mark so we know Austin has approved it so we can go on to review has he worked 39 hours in this case we can see he has and even though he use sick leave the most important thing to know is that he worked 39 hours so once we have checked off on everything doctor evil can approve the week once he checks the boxes he must apply the changes and Austin Powers week from 10:15 to 10:19 has now been approved by both the employee and the supervisor next dr. evil was ready to approve the same week for Vanessa so if he selects her profile and Scrolls down he can see right away that Vanessa has not approved her week from 15 to 10:19 he could either walk down the hall and ask her to approve this week or he can send her a message directly here in time clock to do this select the envelope in the top right-hand corner you will need to select the compose message and then select the recipients you would like to send this to the recipients list it will only be the employees that you have access to and this case Doctor even wants to send a message to Vanessa so he was like the recipient we can just type in please approve your week down here he has a couple of more options this message will be sent in time clock only but he can select this button right here and this will be sent to her Outlook email address that is assigned to her region 16 account this will ensure that she gets a message not only within TimeClock plus but also an email so she can approve weak as soon as possible once you've composed your message and selected how you would like to send it hit send the employee will get an email immediately asking her to approve her timesheet now we can see that Vanessa has approved her week from 10:15 to 10:19 we can go ahead and review to make sure that these are the correct number of hours she has worked and if we agree with it we can approve her week and apply the changes Vanessa's week has now been approved from 10:15 to 10:19 by both the employee and the supervisor next we can talk about time-off request going forward no matter to leave type all time off request will have to be submitted to TimeClock plus whenever an employee is submitted a time-off request you will receive an email to your outlook that looks just like this here we can see Austin Powers is so the time off request for an unemployment day on 1026 at the bottom of the email there are two links one that says approved level one and one that says deny request that despite with these links lead to they will only take you to your login page where you will be required to enter your credentials and review the leave from there so even if you hit approve level one you will still have to log in and approve the request senior module once you have logged in you can either jump to request manager right here from your dashboard or you select tools I'll take you to the request manager here we can see Austin Powers time-off request for Friday the 26th for an unemployment day we know the non employment dates can only be taken in the increments that the workday is required in this case it is a Friday so we know Austin has to submit 7 hours for a time-off request for an unemployment day if this was submitted on a Wednesday or Tuesday this would be 8 hours it's a Friday we're looking for seven hours and that is exactly what Austin Powers has submitted so we can go ahead and prove it to do this right click and you can approve request one Austin's time has now been approved and he will get an email stating that you have approved his request we can take this example one step further and look at what happens after you have approved a request and the employee has approved the but it changed needs to be made after the fact so let's go in the H individual hours and we can look at Austin Powers down here on the 26th we can see the non-employment day we approved the request manager module we can Cissy Houston has approved his time from 10:22 to 10:26 but let's say often wanted to change his from an unemployment claim to estate day before it gets turned into the business office to do this simply right click and so said it here we can change the job code from an unemployment day to State leave I know it will be required whenever we change a segment so we can simply put per employees request and hit save immediately you can see there is a red x that popped up this is telling us that the employee has to go back and really prove this day that he already approved this will prevent Managers from changing timesheets that should not be changed anytime a segment is adjusted on the managers and it will automatically be kicked back to the employee for the employee to re-approve it so in this case Austin wanted to go back and approve this day and then we will be authorized to prove his now that Austin is re-approved the change on the 26th we can approve the week we still need to double-check that he reached 39 hours and we still need to double-check that we've got all green check now we can approve the week from 10:22 to 10:26 and apply the changes the week is now been approved by the employee and the supervisor we can look at a time-off request that needs to be edited prior to approval so if we jump to request manager we can see when esta cancion tennis submitted a time-off request for sick leave this number right here tells us this is 8 hours this year has requested let's say we know that Vanessa has worked quite a bit this week and we have a feeling 8 hours is going to push your well over 39 hours required how can we check to see the amount of hours she work this week prior to approving the well if you double-click on it it will bring up the employee request detail here we can expand all and scroll all the way down to the bottom there's a button that says individual hours if you select that it's going to take you back to her hours page and it's going to show you how many hours she has worked for this week here we can see the week is 10:22 to 10:26 the time off request was on the 24th and we can see she is already worked 34 hours so if we apply the 8 hours of sick leave that's going to push your well over the required 39 hour limit so she only needs 5 hours of sick leave instead of eight so now we can select this button up here that says return to manage request and we can select the edit button instead of eight hours we can change it to 5 we can hit okay save it now we can see the change has been per session updated from 8 hours to 5 hours we could right click and approve it once we have a proven SS time and we know she has reached the required 39 hours I sent her a message letting her know that our weakest ready for approval we can check this box to make sure she gets the message then her Outlook email so she know she can approve her week immediately and we can send it once Vanessa approves her week we can go back in 2 hours so I turned profile come down we can see the he is checked the boxes and we've got all green check marks and she is we should 39 hours we can approve her week and apply the changes as stated earlier all leave request going forward must be an earth request manager no matter to leave type whether it be bereavement jury duty comp time State time sick leave are not employment days everything must come to request manager and go through the approval process this will ensure that it isn't initiated by the employee and supervisors are approving the time as it comes in the only thing a segment should be at in which is found under ours is it the employee is physically unable to come to work and will not be able to come to work in the foreseeable future every time a segment is added a reasonable if you given for the segment being added missed punch segments should be kept very minimal and will be
